E-Bike Rental Terms and Conditions

By proceeding with your online booking, you (“the Customer”, “you”, “your”) agree to be legally bound by the following Terms and Conditions (“Terms”) set out by The Bicycle Exchange Ltd (trading as “Ride The Downs”, “we”, “us”, “our”).

1. Booking and Payment

1.1. All bookings must be made online through our website. Full payment is required at the time of booking.
1.2. A booking confirmation will be emailed to you upon successful payment.
1.3. We reserve the right to refuse a booking at our discretion.

2. Identification and Age Requirements

2.1. The minimum age to rent an e-bike is 18 years.
2.2. A valid photo ID (passport or UK driving licence) may be required at the time of collection.
2.3. You must ensure that you are legally permitted to use an electric bicycle under current UK laws.

3. Equipment Provided

3.1. The rental includes:

• One e-bike

• Charger (for multi-day rentals)

• Helmet (optional but strongly recommended)

• Basic tool kit (if applicable)

3.2. All equipment remains the property of The Bicycle Exchange Ltd.

4. Customer Responsibilities

4.1. You agree to:

• Use the e-bike in a lawful, safe, and considerate manner

• Comply with the Highway Code and all relevant UK cycling laws

• Refrain from riding under the influence of alcohol or drugs

• Secure the e-bike when unattended using a suitable lock

4.2. You are liable for any loss, theft, or damage to the bike or accessories during the rental period, including punctures and crash damage.
4.3. You must notify us immediately in the event of any accident, breakdown, or theft.

5. Collection and Return

5.1. Bikes must be collected and returned to the specified location during the agreed time window.
5.2. Late returns may incur an additional fee of £20 per hour, up to a maximum of the daily rental rate.
5.3. Unreturned bikes will be reported as stolen after 24 hours unless otherwise agreed in writing.

6. Cancellations and Refunds

6.1. Cancellations made more than 48 hours before the start of the rental will receive a full refund.
6.2. Cancellations made within 48 hours are non-refundable.
6.3. In the event of bad weather, refunds will only be given at our discretion unless we cancel the booking ourselves.

7. Risk and Liability

7.1. You accept that cycling carries inherent risks. By renting an e-bike, you do so at your own risk.
7.2. We are not liable for personal injury, loss, or damage to personal property arising from the use of the rented e-bike, except where caused by our negligence.
7.3. It is your responsibility to ensure you are medically fit and capable of operating an e-bike.

8. Insurance

8.1. Our rental service does not include personal accident or third-party liability insurance.
8.2. You are encouraged to take out appropriate insurance cover for the duration of the rental.

9. Damage Charges and Deposit

9.1. We reserve the right to charge your payment card for:

• Replacement or repair of damaged components

• Lost or stolen items

9.2. A refundable security deposit may be required at our discretion.

10. Data Protection

10.1. We process your personal information in accordance with our [Privacy Policy].
10.2. We will not share your data with third parties except as required for the operation of your booking or where required by law.

11. Governing Law

11.1. These Terms are governed by the laws of England and Wales.
11.2. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
