TERMS & CONDITIONS OF BIKE HIRE
GROUNDS CYCLE CENTRES

1. AGREEMENT & GROUP BOOKINGS

1.1 Application: These Terms and Conditions apply to all bike and equipment hires
provided by Grounds Cycle Centres (operated by AE Catering Limited).
1.2 Binding Contract: A binding contract is formed upon completion of a Hire
Registration Form or upon accepting these terms via our online booking portal.
1.3 Lead Hirer & Group Responsibility: Where a booking is made for multiple bikes
or on behalf of a group/party, the individual completing the booking ("Lead Hirer"):
(a) Warrants that they have full authority to act on behalf of all participants
using the equipment hired under their booking, whether those participants are
individually named or not.
(b) Agrees to accept full financial liability for ALL bikes, equipment, and
accessories hired under the booking—including charges for loss, damage, late
returns, or unpaid balances accrued by any member of their party.
(c) Agrees to fully indemnify Grounds Cycle Centres against any claims, actions,
demands, or costs arising from personal injury, death, loss, or damage
suffered or caused by any member of their party.
(d) Confirms that all participants (or parents/guardians of riders under 18)
have been made aware of, understand, and agree to abide by these Terms &
Conditions.
1.4 Minors: Riders under the age of 18 must be accompanied by a parent or legal
guardian, or be under the supervision of the Lead Hirer who accepts legal
responsibility on their behalf.
2. AUTHORISED USE, OFF-SITE HIRE & VEHICLE TRANSPORT

2.1 Authorised Group Use & Strict Non-Transferability: Hired cycles and equipment
are exclusively for the use of the Lead Hirer and the members of their immediate
group/party. The Hirer shall NOT lend, sub-let, sell, mortgage, pledge, or permit
ANY individual outside their registered party to ride or use any of the hired
bikes or equipment. Permitting unauthorised third-party riders constitutes a
material breach of contract, and the Lead Hirer assumes full liability for any
damage or injury resulting from such use.
2.2 Off-Site Hire & Vehicle Transportation:
(a) Transport & Racks: Grounds Cycle Centres does not supply, fit, or provide
bike racks or transport accessories. If bikes are removed from the premises
or hired for off-site use, the Hirer is solely responsible for sourcing,
fitting, and safely using their own vehicle transport or bike rack.
(b) Absolute Exclusion of Vehicle/Rack Damage Liability: Grounds Cycle Centres
accepts NO liability whatsoever for any loss, scratch, dent, or structural
damage caused to the Hirer’s vehicle, bike rack, tow-bar, bodywork, or
third-party property arising from loading, unloading, transporting, or
securing our hired bikes.
(c) Transit Damage to Bikes: Any damage caused to the hired bike(s) while
being loaded, transported, or mounted on a customer’s vehicle or rack is
the full financial responsibility of the Lead Hirer.
(d) Off-Site Security: Off-site security is the Hirer's sole responsibility.
Bikes must be locked to an immovable object using a sold-secure lock when
left unattended or securely locked to a vehicle rack.
(e) Breakdown & Support Off-Site: Grounds Cycle Centres is not obligated to
provide call-out, trailside recovery, or breakdown support for bikes taken
off-site. While punctures are not charged to the customer, the Lead Hirer
remains responsible for returning the bike to the shop. If staff recovery
is required off-site, return transport costs incurred by Grounds Cycle
Centres will be charged to the Lead Hirer.
3. HIRER OBLIGATIONS, SAFETY & RISK

3.1 Assumption of Risk: Cycling carries inherent risks of injury, death, and
property damage. You accept that you and your party undertake the hire entirely
at your own risk.
3.2 Health & Fitness: You confirm that all riders in your party are physically fit
and competent to ride the hired equipment. Grounds Cycle Centres accepts no
responsibility for inability to complete a hire period due to fitness, illness,
or injury.
3.3 Safety Gear & Helmets: Grounds Cycle Centres strongly recommends the use of
approved safety helmets at all times. Helmets are provided with hire upon request.
Helmets are strongly recommended for all riders.
3.4 Responsible Conduct: Riders must obey the Highway Code, local trail rules, and
bylaws. Riding under the influence of alcohol, drugs, or impairing medication
is strictly prohibited.
4. INSPECTION, DAMAGE, LOSS & THEFT

4.1 Pre-Hire Inspection: Equipment will be provided in fully serviced, safe working
condition. The Lead Hirer must inspect all equipment prior to departure and
report any existing defects to staff immediately. Departure from the premises
signifies acceptance that all equipment hired under the booking is in good
working order.
4.2 Care & Maintenance During Hire: The Lead Hirer is responsible for keeping
all equipment safe from damage, misuse, or theft. Normal wear and tear and
standard punctures are included/exempt from damage charges. However, crash
damage, transit damage, rim/wheel damage caused by riding on a flat tyre, and
damage resulting from neglect or improper use remain the financial
responsibility of the Lead Hirer.
4.3 Theft & Loss Reporting: In the event of theft or loss, the Lead Hirer must
notify Grounds Cycle Centres immediately and, for off-site hires, report the
incident to the Police to obtain a Crime Reference Number. The Lead Hirer
remains liable for the full replacement value of any lost or stolen equipment.
4.4 Payment for Damage/Loss: Grounds Cycle Centres reserves the right to charge
the credit/debit card provided at booking for the reasonable cost of repairs,
replacement parts, full replacement (if unrepairable), or specialised cleaning
required upon return.
5. PAYMENT, DEPOSITS, LATE RETURNS & CANCELLATION

5.1 Payment & Security: Full payment is required at the time of booking. A valid
credit or debit card is required as a security pre-authorisation prior to
equipment release.
5.2 Late Returns & Multi-Day Overdue Charges:
(a) Timely Return: Bikes and equipment must be returned strictly by the agreed
end time specified on your Hire Agreement.
(b) Hourly / Half-Day Late Charges: Returns exceeding a 15-minute grace period
will be subject to a late fee of £10 per bike for every 30 minutes past the
agreed return time
(c) Overdue (1 Day or Longer): Any bike returned a day late or longer (or
retained past the scheduled date of return without prior written extension)
will be charged at 150% of the standard daily hire rate per bike for each
day (or part day) until the equipment is safely returned to Grounds Cycle
Centres staff.
(d) Deemed Loss / Theft (72 Hours Overdue): Equipment not returned within 72
hours of the scheduled return time, where no extension has been formally
agreed, may be declared stolen. Grounds Cycle Centres reserves the right to
charge the Lead Hirer’s payment card for the full replacement cost of all
unreturned equipment alongside issuing a Police report.
(e) Unattended Returns Prohibited: Bikes must be handed directly to a member
of Grounds Cycle Centres staff. Leaving bikes outside or unattended after
hours is strictly prohibited. The Lead Hirer remains fully responsible for
the theft, loss, or damage of any bike left unattended, and daily late
charges will continue to accrue at the 150% rate until officially checked
in by staff during operational hours.
5.3 Cancellation Policy:
Low Season (Jan–Apr, Oct–Dec):
- Up to 3 days prior: 50% charge
- 1 day prior: 75% charge
- Day of hire: 100% charge
High Season (May–Sep & All Bank Holidays):
- Up to 7 days prior: 60% charge
- 3 days or less prior: 100% charge
6. LIMITATION OF LIABILITY

6.1 Equipment Standard: Grounds Cycle Centres will ensure all equipment is
serviced and fit for purpose. If a catastrophic mechanical failure occurs
during normal, intended use (excluding punctures or crash damage), stop riding
immediately and contact the shop.
6.2 Exclusions: Grounds Cycle Centres shall not be liable for any loss, damage,
death, or personal injury resulting from:
(a) Misuse, rider error, or failure to follow safety guidelines;
(b) Third-party actions or environmental/weather conditions;
(c) Transit damage or routine trailside maintenance during off-site hire;
(d) Indirect or consequential financial loss.
6.3 Statutory Protections: Nothing in these terms excludes or limits liability for
death or personal injury caused by Grounds Cycle Centres' proven negligence,
or any statutory rights that cannot be excluded under UK Law.
7. GENERAL & GOVERNING LAW

7.1 Entire Agreement: These terms constitute the entire contract between Grounds
Cycle Centres and the Hirer, superseding any prior written or oral agreements.
7.2 Jurisdiction: These terms are governed by English law and subject to the
exclusive jurisdiction of the English Courts.
