Ride Experience - Bike Hire Terms & Conditions

1. Definitions
"The Hirer" refers to the individual named on the hire agreement or making the booking.
"Ride Experience" refers to the company providing the hire services.
2. Booking and Identification
- By making a booking or signing a hire agreement, the Hirer agrees to these Terms & Conditions.
- The Hirer must be 18 years or older and accepts responsibility for all equipment and persons included in the
booking.
- A valid physical photo ID is required to hire a bike - either a UK/EU driver's licence or passport.
- Digital copies, scans, or photographs of ID are not accepted. Failure to produce valid ID will result in refusal
of hire.
3. Supervision of Children and Age Restrictions
- Children under 16 years old must be accompanied by an adult (18+) on a bike at all times.
- Riders aged 16 and 17 may ride unaccompanied, but an adult (18+) must make the booking and be present
at collection to accept responsibility for the hire.
- Ride Experience reserves the right to check ID for age verification where necessary.
4. Use of Equipment
- Equipment remains the property of Ride Experience.
- The Hirer is responsible for the care and safe use of all hired items during the hire period.
- All items must be returned in the condition they were hired, by the agreed return time.
- Late returns will incur additional charges at the current hourly rate.
5. Loss, Damage & Deposits
- A refundable deposit may be taken.
- Any loss or damage to equipment may result in partial or full retention of the deposit.
- Where damage or loss exceeds the deposit, the Hirer is liable for the full cost of repair or replacement.
6. Safety and Conduct
- Cycling is a physical activity that carries risk of injury. The Hirer agrees that all participants are physically fit
and capable.
- All riders are advised to wear helmets and suitable protective gear.
- The Hirer confirms that no participant is under the influence of alcohol or drugs.
- Ride Experience reserves the right to refuse or terminate hire if it deems the Hirer's behaviour unsafe.
7. Use of Trails and Facilities
- Hired equipment must only be used on designated cycle routes within permitted areas.
- Use of bikes on dirt jumps, black runs, north shore trails or free ride areas is not permitted.
- Fires are not allowed. Users must respect other visitors and follow all Forestry Commission site rules and
byelaws.
- Riders must obey all signage and warning notices.
8. Mechanical Issues & Assistance
- All bikes are inspected before hire.
- In the event of a mechanical issue during the hire period, Ride Experience will endeavour to provide
assistance, recovery, or replacement, but this is not guaranteed.
- Refunds or partial refunds may be considered at Ride Experience's discretion, depending on the
circumstances.
9. Cancellations & Refunds
- No refunds will be issued for early return or unused hire time.
- If Ride Experience is unable to provide the service or facilities as booked due to circumstances within its
control, a suitable alternative or refund will be offered.
- In the event of adverse weather, forest closures, or force majeure events, refunds may be issued at Ride
Experience's discretion.
10. Liability
- Ride Experience is not liable for loss or damage to personal property.
- Nothing in these terms excludes or limits Ride Experience's liability for death or personal injury caused by its
negligence.
- Ride Experience shall not be liable for indirect or consequential loss, including loss of profit or enjoyment,
except where required by law.
11. Insurance
- Ride Experience recommends that Hirers obtain personal accident and travel insurance.
- Ride Experience's insurance does not cover personal injury or damage caused through misuse of
equipment or failure to follow safety advice.
12. Payment & Charges
- All charges must be paid in full before or at the start of hire.
- Additional charges may apply for late returns, damage, or requested additional services.
- Interest may be charged on late payments at 2% above the base lending rate.
- If there is a dispute on any part of an invoice, the undisputed portion must still be paid by the due date.
13. Data Protection
- Ride Experience processes personal data in accordance with data protection laws. For details, see our

14. Variations and Substitutions
- Ride Experience reserves the right to substitute equipment or vary the services provided where necessary,
offering an equivalent standard.
- Bookings are non-transferable without written consent.
- Any variations to these Terms must be agreed in writing and signed by both parties.
15. Governing Law
- These Terms & Conditions are governed by the laws of England and Wales.
- Any disputes arising shall be subject to the non-exclusive jurisdiction of the courts of England and Wales.
16. Authority to Contract
- The person signing the agreement on behalf of a group confirms they have the authority to do so. If not,
they may be held personally responsible for compliance with this contract.
17. Special Requirements
- Any accessibility needs or special requirements should be notified before the booking is confirmed so that
suitable arrangements can be made.
